The record connects each maintenance decision to its asset, site, evidence and approval. Reports respect the recipient’s role and access.
Every site’s assets on one accountable record.
Seichō’s team designed and built a maintenance system connecting every site’s assets, repairs, approvals and verified costs.

From site report to an accountable asset record.
The system in words
Site staff report through the messaging channel they already use or a web form. Scheduled maintenance also supplies work. Reports enter the operations review queue. Operations assigns a named technician or approved contractor, with acknowledgement and escalation. The repair record holds completion evidence for independent verification. Orders follow cumulative job approval limits and expiring spend delegations. Accounts independently validates invoices and separately confirms payments. Reported costs remain unverified until invoice validation. Asset and site records connect condition, repair history, evidence and verified costs. Role-scoped reports serve operations, finance, management, compliance and suppliers. Access follows organisation, site and record grants, with expiry. Contractors see only their own matched work. Access administration is separate. Evidence files remain unavailable until checks and scanning pass. The audit trail records consequential workflow actions.
Mandate
Clarity over every asset and the cost of maintaining it.
The organisation is a multi-site food group turning over €40 million to €50 million in Ireland.
The mandate was control over maintenance spend and asset condition across sites, with accountability at each step.
Each site needs a record of what exists, its condition and history, who repaired it, the verified cost and who approved it.
System
Each repair contributes to the asset’s history.
Staff report work through the messaging channel they already use or a web form. Scheduled maintenance creates work alongside these reports.
Operations reviews incoming reports and assigns work to a named technician or approved contractor. Acknowledgement and escalation keep responsibility explicit.
The repair record holds completion evidence for independent verification. Orders follow approval limits, invoices require validation, and payments require separate confirmation.
Asset and site records connect the work to reports for operations, finance, management, compliance and suppliers.
Controls
Authority follows the site, the record and the decision.
The system uses the organisation’s existing sign-in. Expiring grants govern access by organisation, site and record.
Contractors see only their own supplier-matched work under current grants. Access administration is separate and implements independently approved requests.
Evidence files pass type, size, integrity and virus checks before anyone can open them. Unscanned files remain unavailable.
Reported costs stay separate from verified spend until an invoice is independently validated. Cumulative job limits govern order approval.
The audit trail records consequential workflow actions.
What the record makes visible.
- Asset history by site
- The register connects asset condition, repair history, completion evidence and the people responsible for the work.
- Open and overdue work
- Queues show outstanding repairs, unacknowledged assignments and scheduled maintenance due at each site.
- Verified spend
- Validated invoices establish spend against approval limits. Payment confirmation remains a separate finance action.
- Supplier performance
- Supplier reports connect assigned work, completion and verified costs within the recipient’s permitted scope.
- Compliance dates
- Certificates sit against the asset record with their completion and expiry dates.
