The system stays accountable to the business.

Stewardship provides managed software services for systems in daily use. After delivery, they can stay in Seichō’s care, maintained and improved against the commercial objective.

Term
6-month initial term, then quarterly renewal
Accountability
A named service owner
Leadership evidence
Monitoring, operating reviews and an approved action record

Managed software services keep operation under review.

Operating evidence informs the next service decision.

Operating evidence informs the next service decision. This illustrative service loop carries monitoring, incident and usage records into the operating review. The review compares the available baseline, workload, cost and contribution to the commercial objective. The sponsor approves continuation, a defined change, transfer or retirement. The service owner records responsibility for the outcome. Evidence returns to monitoring where the service continues; transfer and retirement close with a handover record.

The system in words

This illustrative service loop carries monitoring, incident and usage records into the operating review. The review compares the available baseline, workload, cost and contribution to the commercial objective. The sponsor approves continuation, a defined change, transfer or retirement. The service owner records responsibility for the outcome. Evidence returns to monitoring where the service continues; transfer and retirement close with a handover record.

The service has an agreed boundary.

The service schedule names the systems, environments and integrations in care. It assigns supplier, access, backup and escalation responsibilities, with included maintenance and improvement work defined.

Operating evidence informs the review.

Monitoring and application support records show incidents, failed jobs, adoption and expenditure. The service owner holds the action register; the client process owner confirms whether the system still serves the work.

The objective determines what follows.

The quarterly operating review compares workload, operating cost and contribution against the baseline. Leadership approves continuation, a defined improvement, transfer or retirement. The illustrative loop shows the service continuing only after that decision.

The operating review leads to an owned action.

Quarterly operating review

The review connects operating evidence to an approved change.

Commercial objective
Increase completed orders within the existing coordination capacity, without increasing rework.
Period and evidence
The quarter ending 30 September 2026 uses order records, exception logs and finance-approved service expenditure.
Baseline and comparison
The comparison records handling time per completed order, order mix and rework. Released capacity is recorded separately from any reduction in expenditure.
Operating finding
Repeated missing references in incoming orders account for the main exception category. The process owner confirms the source of those omissions.
Approved action
Add a required reference check within the agreed improvement allocation. The service owner records acceptance criteria, release approval and the recovery procedure.
Next review
The next operating review compares the exception rate and correction effort using the same definition. The sponsor retains the decision to continue, change or retire the workflow.

Software maintenance preserves the supported system; improvements respond to the evidence in use. Changes to access, models and integrations follow the governance requirements and return to acceptance before release.

450+messages handled semi-autonomously each month, saving more than 30 hours

Message volume from the system's logs, averaged over recent months. The time saving is estimated from handling time per message.

Continued operation carries a defined responsibility.

The messaging concierge is operated and maintained by Seichō. Its workflow connects assessment-led replies, a human approval queue and an outbox for the sales system.

Read the messaging concierge study. The property operating study shows another system in continuing use, connecting scheduling, files, delivery and billing.

Service ownership is settled before care transfers.

Entry evidence
An accepted system, its runbook, agreed access, supplier accounts and incident history establish the starting position. The available operating baseline enters the responsibility record.
Service commitments
The written schedule defines service hours, incident priorities, response targets, cover and planned maintenance. It distinguishes acknowledgement from restoration and records external supplier dependencies.
Client participation
The client appoints a process owner and an approver for priorities and releases. Finance confirms the cost boundary and the basis used to assess commercial contribution.
Operating measures
Each comparison records its source, observation period and workload. Released hours, capacity put to use and cash savings have separate definitions; hosting, licences and correction work enter the agreed cost boundary.
Improvement scope
Routine maintenance, incident work and development have defined allocations. A larger change returns to a separate specification and proposal, with release approval and recovery evidence.
Transfer and exit
The agreement sets notice, transfer assistance and responsibility for completion. The handover identifies documentation, permitted data exports, account access, licensing terms and outstanding actions.

Where the business needs an ongoing technology lead, Stewardship can include a fractional CTO.

The Build engagement establishes release acceptance and operational handover. The engagement terms connect each commission to its outputs and decisions.

Fees are fixed and set out in a written proposal. The briefing establishes scope.
